04 — Rental policies
The rules of the road, before you pay.
Plain answers on who can hire, what to bring, deposits, fuel, mileage, insurance and what happens if plans change.
DraftThese policies include DashKai’s own Terms and Conditions and Christine’s answers of 23 September. Anything marked “to confirm” is still outstanding and awaits Christine.
Questions?
Call us, or visit our Harare office before you book. We would rather explain a rule in person than surprise you at collection.
Ask on WhatsAppWho can hire
We hire to licensed drivers who can show us who they are and that they have been driving for long enough to be safe in an unfamiliar car. The same rules apply to every driver named on the agreement.
- Drivers must be 21 years of age or above on the day the hire starts, and no older than [to confirm: 70].
- You must have held a valid driving licence for at least one year. Learner and provisional licences are not accepted.
- Your licence must be current and free of disqualifications. We may decline a hire if a licence has been endorsed for serious offences in the last [to confirm: 3] years.
What you need to bring
Bring the originals to collection. We photograph or copy them for the rental file and hand them straight back.
- A valid driving licence, which may be:
- a Zimbabwean licence (metal disc or the new card);
- a licence issued by another SADC country;
- an international driving permit, or a foreign licence in English or with a certified English translation, together with the passport it was issued against.
- A national ID for Zimbabwean residents, or a passport for visitors. The name must match the licence.
- Proof of residence. Any one of the following is accepted:
- a bank statement;
- a confirmation of employment;
- a ZOU or TelOne statement;
- a lease agreement;
- a ZESA statement;
- a city council statement;
- a Wi-Fi statement.
- Where the document is in the name of a property owner or another person, we may require additional confirmation or supporting documentation before the rental is approved.
- The security deposit, paid before the keys are handed over. See Deposits and payment.
Deposits and payment
The hire charge is paid in full before the car leaves. A refundable security deposit is held against fuel, fines, damage and late return, and is returned to the same account or in cash once the car is checked in.
- The refundable security deposit is required before the car is released, and depends on the class of car:
- Fuel Savers, Sedans and mid-sized SUVs: USD 200;
- Full-size SUVs and Off-Road bakkies: USD 300;
- Vans: [to confirm: USD amount per hire];
- Luxury vehicles: set per vehicle and confirmed when you book.
- The deposit is payable at the time the rental agreement is signed, and we may use it to cover any amount due under that agreement.
- We accept EcoCash, InnBucks, OneMoney, ZIPIT and bank transfer, and USD cash. [to confirm: exact list of accepted payment methods].
- We cannot accept Visa or Mastercard. Please do not travel expecting to pay by card.
- The deposit is released within [to confirm: number of working days] of the car being returned and checked, less any agreed deductions, each of which we itemise for you in writing.
- Daily rates are shown on this site. Weekly and monthly rates are quoted on request — ask on WhatsApp with your dates.
The DashKai Rental Agreement
Every hire is set out in a DashKai Rental Agreement. It forms part of your rental documentation and carries the terms that apply to your particular car and dates.
- DashKai Car Rental is a trading name of ChrimacDashiell. Your rental agreement is with ChrimacDashiell trading as DashKai Car Rental.
- The DashKai Rental Agreement must be reviewed and accepted before the car is released to you.
- Your daily mileage limit and the excess-mileage rate are specified on the agreement and recorded on it before the car is released. See Mileage and where you may drive.
- The security deposit is payable at the time the agreement is signed. See Deposits and payment.
Bookings, changes and cancellations
Every booking is arranged and confirmed on WhatsApp so both sides have the dates, the car and the price in writing on the same thread.
- A booking is confirmed when we send you a WhatsApp message stating the car, the dates and the total, and you reply to accept it. To secure the booking, we ask for a payment equal to the refundable security deposit for that car. See Deposits and payment.
- You may change your dates or car free of charge up to [to confirm: 24 hours] before pick-up, subject to availability. Later changes are treated as a cancellation and a new booking.
- Cancellation charges:
- more than [to confirm: 48 hours] before pick-up: [to confirm: no charge];
- between [to confirm: 48] and [to confirm: 24] hours before pick-up: [to confirm: percentage of the first day];
- less than [to confirm: 24 hours] before pick-up: [to confirm: one full day at the agreed rate].
- If you do not arrive and have not told us, the booking is released [to confirm: 2 hours] after the agreed pick-up time and the no-show charge is [to confirm: one full day at the agreed rate].
Rental period and late returns
A rental day is 24 hours from the time you collect the car. Return times are agreed in writing when the booking is confirmed.
- A grace period of [to confirm: 1 hour] applies after the due-back time. After that, a late return is charged at USD 10.00 an hour for each hour beyond the end of the rental period, until the car is returned. We may subtract late-return charges from the security deposit.
- Extensions must be agreed on WhatsApp before the due-back time. An extension is only confirmed once we reply to accept it — the car may already be booked to the next customer.
- Keeping a car beyond the due-back time without an agreed extension may be reported to the police as an unauthorised retention.
Fuel
Cars go out with at least a quarter tank, with the level recorded on the check-out sheet, and must come back at the same level.
- The tank must be filled to the level indicated at the start of the rental. Failing to do so is charged at USD 20.00 per quarter tank short of that level, and deducted from the deposit.
- We do not refund unused fuel if the car comes back with more than it left with.
- Use the fuel grade shown inside the filler cap. Damage caused by the wrong fuel is charged to the hirer in full and is not covered by insurance.
Mileage and where you may drive
Our cars are available for Harare and for journeys upcountry. Where you take the car depends on the class you hire.
- Every car includes 200 km a day of free mileage. Beyond that, excess mileage is charged per km: 50 cents for Fuel Savers, 80 cents for mid-sized cars, and USD 1 for bakkies and full-size SUVs. The rate for Sedans and Vans is [to confirm: excess-mileage rate for Sedans and Vans]. Unlimited-mileage rates are available on selected cars — ask when you book. Your mileage allowance is recorded on your rental agreement before the car is released.
- Zimbabwe only, unless we have agreed a cross-border trip in writing before the hire starts. Cross-border travel needs [to confirm: a written authority letter, the vehicle papers, extra insurance and a cross-border fee].
- Road surfaces by class:
- Fuel Savers and Sedans are for tarred roads and well-kept gravel access roads only;
- SUVs and Vans may use graded gravel roads;
- Off-Road vehicles may be driven on gravel and dirt tracks. Riverbeds, deep sand, water crossings and any deliberate off-road driving remain excluded — [to confirm: exact off-road restrictions].
- Damage that results from driving a car on a surface it is not permitted on is charged to the hirer in full.
Insurance and damage
All our cars are 100% comprehensively insured. What that cover leaves out, and what you pay if something happens, is set out here.
- You are responsible for all collision damage to the car, whether or not someone else is at fault and whether or not the cause is known, and you are fully responsible for the cost of any repair up to the value of the vehicle.
- You are responsible for all lost car keys, and for any lockout situation during the rental period.
- The following are not covered and are charged in full:
- tyre bursts and other tyre damage;
- broken windows and windscreens;
- suspension damage;
- undercarriage and sump damage — [to confirm: confirm];
- damage caused while any policy in this document was being broken;
- loss of, or damage to, your own belongings.
- Theft of the car: [to confirm: whether theft is covered, and what the hirer pays if the car is stolen]. Any cover depends on the keys being returned to us and the car having been locked. If the keys are lost or left in the car, the hirer is liable for the full value.
Additional drivers
Only drivers named on the rental agreement may drive the car.
- Only persons listed on the Car Rental Agreement and above the age of 21 may drive the car. Additional drivers must be declared at collection, show the same documents and meet the same age and licence requirements as the main hirer.
- You must be the sole operator of the car for the rental period, unless we have agreed otherwise with you beforehand.
- Additional drivers are charged at [to confirm: USD per driver per hire, or free].
- If an undeclared person drives the car, insurance cover is void and the hirer is liable for all loss and damage.
Chauffeur hire
Chauffeur hire, airport transfers, group travel and special-event travel come with one of our own drivers. You do not need to meet the driver requirements above; the driver is ours.
- A chauffeur day covers up to [to confirm: 10] hours of driving and waiting. Time beyond that is charged at [to confirm: hourly overtime rate].
- For overnight trips upcountry the hirer provides, or pays an allowance for, the driver’s meals and accommodation: [to confirm: USD per night allowance].
- Airport transfers are timed to the flight. We meet you in the arrivals hall at Robert Gabriel Mugabe International; waiting for a delayed flight is [to confirm: included up to a stated period].
- Airport transfer prices, by vehicle:
- Honda GP5: USD 35;
- Toyota Axio: USD 35;
- Nissan X-Trail: USD 50;
- Nissan Serena: USD 55;
- Toyota D4D: USD 60.
- Meet and greet with a name board in the arrivals hall adds USD 5. Late-night pickups, generally between 10 pm and 5 am, carry an additional USD 10.
Fines, tolls and police
The car is in your care for the whole hire, and so is everything it incurs on the road.
- ZINARA toll fees are paid by the hirer at the gate. Keep the receipts.
- Traffic fines, parking penalties and clamping or towing charges incurred during the hire are the hirer’s responsibility, including any that reach us after the car is returned.
- Where we have to identify a driver or settle a fine on your behalf, an administration fee of [to confirm: USD amount] is added and deducted from the deposit or invoiced.
Accidents, breakdowns and theft
If anything goes wrong, call us first — on either number, at any hour. We will tell you what to do next and arrange help.
- Report every accident, however minor, to us straight away and to the nearest police station within 24 hours. Insurance requires a police report number.
- Do not admit liability or agree a settlement with anyone at the scene. Take photographs, note the other vehicle’s registration and the driver’s details, and get the names of witnesses.
- If the car breaks down, do not arrange your own repairs or towing without speaking to us. Roadside assistance is [to confirm: included within Harare / available upcountry at cost].
- If the car is stolen, call us and the police immediately. Bring the keys and the police report to our Harare office (see contact details).
Cleanliness, smoking and pets
Cars go out clean and are expected back reasonably clean — the ordinary dust of a Zimbabwean road is fine; sand in the seats and spilt drinks are not.
- The car must be used properly and carefully, and returned washed inside and out. Failure to wash the interior and exterior as required is charged at USD 20.00.
- All cars are non-smoking. Smoke odour is treated as requiring a deep clean and charged accordingly.
- Pets are [to confirm: by prior arrangement only, in a carrier, with a stated cleaning charge].
Delivery and collection
We deliver and collect across Harare, so you can start your hire from home, your hotel or the airport.
- Delivery is charged by distance from our Harare office: USD 10 within 15 km, and USD 15 from 15 km up to 25 km. Beyond 25 km: [to confirm: delivery fee].
- Delivery to Robert Gabriel Mugabe International Airport: [to confirm: fee, or free with a stated minimum hire]. Tell us your flight number so we can meet you at the right time.
- Deliveries, collections and returns outside [to confirm: normal hours] are available by arrangement, at a USD 10 out-of-hours fee on top of the rental and delivery charges.
Lost property
Please check the boot, glovebox and under the seats before you hand the keys back.
- We are not responsible for belongings left in a car.
- Anything we find is logged and kept at our Harare office for [to confirm: 30] days. Message us on WhatsApp to arrange collection.
